Office Specialists play a vital role in keeping the DVS team supported, motivated, and operating smoothly. They are proactive problem-solvers who can think quickly, manage conflicts effectively, and promote a strong sense of teamwork. This role requires the ability to successfully balance multiple responsibilities, including scheduling appointments, managing paperwork, and ensuring supplies and equipment are consistently stocked and organized.

By fostering a positive, calm, and welcoming work environment, Office Specialists help create a space where staff can be productive, collaborative, and creative. Strong communication skills are essential, as they serve as a key point of contact for team members as well as external partners such as parents, educators, and community leaders.

Emphasis: Team Experience

The Office Specialist, focused on team experience, is responsible for enhancing staff morale and supporting a collaborative, people-centered workplace. This includes planning and organizing team functions, assisting staff with student-related activities, ensuring access to necessary supplies, and coordinating with outside vendors and volunteers. This role also provides support to the health office as needed.

Working closely with the COO, this Office Specialist helps ensure that policies and procedures reflect a positive, people-first environment aligned with the organization’s vision.

  • Prepare and maintain the staff lounge for events such as Parent-Teacher Conferences (meals, snacks, and setup)

  • Plan and organize team lunches, staff events, and monthly appreciation activities

  • Coordinate all PTL activities, including communication between the school and PTL, teacher coordination for awards, distribution of notices, and preparation of certificates

  • Oversee the school picture process from scheduling to completion

  • Manage special printing and laminating requests for staff

  • Coordinate and support volunteer programs

  • Plan, organize, and decorate for school-wide events and holidays (e.g., Open House, End-of-Year Celebrations, Veterans Day, Valentine’s Day, Read Across America)

Essential Qualifications

●        High school diploma or GED

●        Level 1 IVP DPS issued Fingerprint Clearance Card
